Exporting your emails to HubSpot Marketing

Overview

Design your emails in RGE Studio and export them to HubSpot for sending. The HubSpot connector lets you export with one click.

To set up the HubSpot connector, your HubSpot account needs:

• A Marketing Hub Professional or Marketing Hub Enterprise plan
• All Admin permissions
• These User permissions in Marketing Access:
  • Read, write, and publish access to Email
  • Edit code templates & modules
  • All other permissions shown in the screenshot below

There are two ways to connect your HubSpot account:

1. From Workspace Settings: connect before you start designing.
2. From the Export options of your email.

1. Connect from Workspace Settings

Go to Settings > Connectors.

Click the Connect button for HubSpot.

If prompted, fill out the modal to start the setup. Your HubSpot credentials are not stored in RGE Studio. They are only used to link your accounts.

During setup, authorize RGE Studio to access this content in your HubSpot account:

Does your HubSpot account use Business Units? RGE Studio also needs permission to view them.

2. Connect from Export

When your email is ready, click the Export button on the Email Details page. You can also access this from the actions menu.

Find HubSpot under Integrations on the export panel. If you don't see it, click More to open the full connector list.

In the full list, scroll or search for HubSpot. Click the HubSpot icon and follow the steps to connect your account. If you have already connected, you will not be asked again.

If you have multiple Business Units in HubSpot, select one from the drop-down. Then click Create to export your design to HubSpot.

RGE Studio will confirm when the export is complete. Log in to HubSpot to find your email. It is available in three places.

• As a template in Email > My templates. You can use it when you create a new email.

• As an HTML file in the HubSpot Design Manager. It is saved in a folder called RGE Studio.

To edit this file in HubSpot, you need to edit its HTML code. For a no-code option, make your edits in RGE Studio. Then export the design to HubSpot again. This updates your existing design.

• As an HTML file in Marketing > Email.

You can edit these email templates only in RGE Studio. After you make changes, export the email to HubSpot again. This updates the existing design.

Exporting Existing Designs

RGE Studio recognizes emails you have already exported to HubSpot. You can update the existing version in HubSpot using the Update existing option. This export option will overwrite the existing version. To export a new version of your email instead, use Create as new.

HubSpot Required Content

HubSpot requires certain variables in every email. If any of these are missing, you will see an error.

• {{ site_settings.company_city }}: Shows the company city.
• {{ site_settings.company_name }}: Shows the company name.
• {{ site_settings.company_state }}: Shows the company state.
• {{ site_settings.company_street_address_1 }}: Shows the company address.
• {{ unsubscribe_link }}: Shows the URL of the page where recipients manage their subscription preferences.

HubSpot pulls your company details from Content Settings > Email > Footer Information. These variables are already available in RGE Studio. You can add them to your design in three ways:

• To add all the info in your footer, use a pre-defined footer. Find it under Rows > HubSpot Footers.
• For company info only, click where you want it in a text block. Then open the merge tags menu. You can also type the @ shortcut.
• To add only the unsubscribe link, first select the text you want to use. Then click Special links > HubSpot > Unsubscribe. Special links are also in the sidebar for images and buttons. Use the special link for this, not the merge tag. The merge tag shows the full URL in your design after validation.

To add more HubSpot variables, add merge tags and special links in your workspace settings.

Frequently Asked Questions

Which version of HubSpot do I need?

You need HubSpot Marketing Hub Professional or Enterprise. These plans include the features the connector uses to export your designs.

Is RGE Studio listed in the HubSpot integrations directory?

Yes. You can view the RGE Studio listing in the HubSpot integrations directory.

I'm getting an error message saying I do not have the right permissions. What can I do?

Set up the connector as a HubSpot Admin, or use Admin account credentials. To learn more about user roles, see the HubSpot user permissions guide.

How do I uninstall the connector?

You can uninstall the HubSpot connector at any time from RGE Studio or HubSpot.

• In RGE Studio, go to Settings > Connectors. Find the HubSpot connector and click Disconnect.
• In HubSpot, go to Settings > Integrations > Connected apps. Open the Actions menu and select Uninstall.

What happens after uninstalling the connector?

RGE Studio immediately loses access to your HubSpot data. Designs you already exported stay in HubSpot. To export or update designs again, reconnect the connector.

Multiple Workspaces

If you work with multiple brands or clients, the Business and Enterprise plans lets you create separate workspaces. Each workspace can have its own HubSpot connector.

For example, say you have 10 clients who all use HubSpot. You can create 10 workspaces. Each workspace connects to its own HubSpot account.
