Leveraging User Roles and Permissions in your Email Workflow

RGE Studio helps you improve your email creation workflow by letting you add multiple users. You can also configure what they can and cannot do.

For example, how can you prevent a junior editor from modifying important content? And what if you didn't want a new employee to have access to important projects or clients? That's exactly the kind of thing that roles and permissions can help you accomplish.

Keep in mind that there are two types of users in RGE Studio: members and viewers. When working with members, there are several user roles you can assign them. However, viewers are a unique type of user; their role is built directly into their user type. 

Enterprise subscribers can also use Advanced Permissions to limit a user's editing permissions.

Setting different access levels for your members

Roles determine what users can or cannot do in RGE Studio. 

To assign roles to your members, visit the Manage users section of your account. The link is available in the top-right drop-down menu. Note that this section is only available to the owner and admins. 

Click on the member that you want to edit. 

The Role column indicates the role assigned to that member. You can choose the role when you create a new member, or by editing an existing member. 

Assigning roles to new members

If you want to add a new member to your team, click Invite people.

Fill in the form where you can set which workspaces they will have access to. Once complete, you can click Invite to send the invitation. If you need to invite another member immediately, click Invite & assign next to do so. 

Viewers

The viewer is unique because the role is tied directly to the user type. 

Viewers must be invited by using the Invite a viewer button.

A viewer's role cannot be changed unless they are upgraded to a member, which is a paid type of user. Only the account owner can upgrade a viewer to a member.

Understanding the Different Roles

Each role has a default set of permissions that define what they can or cannot do in RGE Studio.

Available roles

Owner
This user manages the RGE Studio subscription. This is the only user who can purchase items (upgrade plan, add users, etc.).

Admin
This user has access to all the features and can create and manage workspace in an Enterprise plan. Usually, this is a person who is in charge of overall team management.

Manager
This user has all the capabilities to manage the design creation workflow inside a workspace.

Editor
This user is someone who creates, edits, and exports designs. 

Contributor
This user is someone who will contribute to content editing (e.g., text optimization).

Viewer

This is a collaborative user with permission to comment on designs created in RGE Studio. They cannot make any changes or edits.

Locking Email Content, Template Layout, or Both
